What is Business Call Routing?
You’ve likely called into a big company and heard “Press 1 for Customer Service” or “Press 2 for Billing”. These call menu options help route the call to the right people. LinkedPhone provides the very same technology to you, without the hassle or the expense. Easily route your business calls to colleagues, mobile phones, office IP phones (desk phones that work through an internet connection), and landlines. LinkedPhone lets you specify to whom calls are routed and how they are routed. When routing calls to a sales team, for example, you can configure LinkedPhone to ring all phones at the same time until someone picks up (Simultaneous Call Routing). You may also have phones ring one at a time in a specific order (Sequential Call Routing) or evenly distribute call loads (Round Robin Call Routing). Which devices can I route my business calls to?
Mobile Phones

IP phones (also referred to as SIP phones, office IP phones, VoIP phones) are phones that work through the internet rather than a traditional telephone carrier. Most offices in the U.S. are equipped with IP phones. When you add an IP phone to your LinkedPhone account, we'll provide you with instructions on how to sign your phone in. You'll need a strong and stable internet connection for IP phones to work properly.
Landlines
Route business calls to any landline. Take note, landlines must have existing phone service otherwise LinkedPhone will not be able to route the call. Landlines typically include your home phone, a store phone, or an operator / receptionist's phone.

What are my options for how calls are routed?
Simultaneous Call Routing
The default configuration, simultaneous call routing (also known as "call blast"), forwards incoming business calls to multiple phones at the same time. Phones ring until the call is picked up or the caller is sent to voicemail. If everyone is on another call, the caller is put on hold while smooth jazz plays in the background.
Sequential Call Routing
Phones ring one at a time in a specific order until someone picks up.
Round Robin Call Routing
Distributes incoming calls across team members so that the work load is evenly shared.
Company Directory
When you add or remove team members in LinkedPhone, your company directory is automatically updated for you. Callers may reach team members directly with our dial-by-name or dial-by-extension feature.
How do I route calls to a new team member?
Simply add your colleague’s name and phone number to your LinkedPhone account. Your colleague will receive an email with activation instructions. New team members may start receiving business calls immediately. Extensions are also provided so that everyone can be reached directly.
What happens if I can't pick up a business call?
If you can’t pick up a business call, the caller is either routed to another colleague or sent to voicemail, based on your set-up. If you’re routing to multiple team members and they’re all busy, your caller is added to the queue while smooth jazz plays in the background. When someone becomes available, the call is connected. So professional. So easy.
Can I set up or change call routing settings on my personal cell phone?
Yes, you may do so with the LinkedPhone mobile app. When you sign up for LinkedPhone, you can download and use our app for free. Please note that sequential and round robin call routing can only be configured on the web at this time.
Is call routing easy to set up?
Setting up call routing with LinkedPhone is easy. There are two ways to manage how business calls are routed: without call menu options and with call menu options. In either case, phones ring only when you want them to. Simply set your business hours online or in the app.
If you decide not to set up call menu options, all phones in your LinkedPhone account will ring at the same time when your business number is dialed. For instance, let’s say you’ve added your personal cell phone and your partner’s office phone to LinkedPhone. When a customer calls your business number, both phones will ring until one of you picks up or the caller is sent to voicemail.
With call menu options, you can customize call routing to fit your business needs. In order to specify which devices receive calls and how those devices ring (simultaneously, sequentially, round robin), simply set up call menu options in Virtual Receptionist. Here’s an example: pressing 1 for customer service routes the call only to you, pressing 2 for technical support routes the call to your business partner, and pressing 3 for sales inquiries routes the call to both of you at the same time. Each call menu option has its own voicemail box so team members can easily stay on top of things.
