What is Business Call Routing?

You’ve likely called into a big company and heard “Press 1 for Customer Service” or “Press 2 for Billing”. These call menu options help route the call to the right people. LinkedPhone provides the very same technology to you, without the hassle or the expense. Easily route your business calls to colleagues, mobile phones, office IP phones (desk phones that work through an internet connection), and landlines. We can even route calls and text messages to any computer. Even if you’re an entrepreneur, call routing delivers a polished and professional caller experience. Learn more about call menu options.

LinkedPhone lets you specify to whom calls are routed and how they are routed. When routing calls to a sales team, for example, you can configure LinkedPhone to ring all phones at the same time until someone picks up (Simultaneous Call Routing). You may also have phones ring one at a time in a specific order (Sequential Call Routing) or evenly distribute call loads (Round Robin Call Routing). If everyone is busy, the caller is placed in queue with hold music until someone becomes available. To learn more about cloud-based virtual phone systems, check out our blog post.

Mobile Phones

We recommend using the LinkedPhone app for the best experience. Our app effectively adds a second number to your cell phone (no need to buy another mobile phone for business). It's like having two lines - a personal line and a business line.

The LinkedPhone app lets you to call and text from your business number caller ID (your personal phone number stays private), see incoming business phone calls, read and listen to business voicemail, add team members, create team and customer contact lists, share contacts, take notes on customer conversations, create business to-do lists, communicate with colleagues, transfer live calls to another colleague, review call history, record company greetings, access a live dashboard, and create call menu options. It’s the most powerful business phone number app on the market today.

When you sign up online, you and anyone else you add to your account may use the LinkedPhone app free of charge. For optimal call quality, calls generally go through your carrier. Since most mobile plans provide unlimited minutes, this is not a concern for the vast majority of our users.

IP Phones

IP phones (also referred to as SIP phones, office IP phones, VoIP phones) are phones that work through the internet rather than a traditional telephone carrier. Most offices in the U.S. are equipped with IP phones. When you add an IP phone to your LinkedPhone account, we'll provide you with instructions on how to sign your phone in. You'll need a strong and stable internet connection for IP phones to work properly.

Route business calls to any landline. Take note, landlines must have existing phone service otherwise LinkedPhone will not be able to route the call. Landlines typically include your home phone, a store phone, or an operator / receptionist's phone.

What are my options for how calls are routed?

Simultaneous Call Routing

The default configuration, simultaneous call routing (also known as "call blast"), forwards incoming business calls to multiple phones at the same time. Phones ring until the call is picked up or the caller is sent to voicemail. If everyone is on another call, the caller is put on hold while smooth jazz plays in the background.

Company Directory

When you add or remove team members in LinkedPhone, your company directory is automatically updated for you. Callers may reach team members directly with our dial-by-name or dial-by-extension feature.

How do I route calls to a new team member?

Simply add your colleague’s name and phone number to your LinkedPhone account. Your colleague will receive an email with activation instructions. New team members may start receiving business calls immediately. Extensions are also provided so that everyone can be reached directly.

What happens if I can't pick up a business call?

If you can’t pick up a business call, the caller is either routed to another colleague or sent to voicemail, based on your set-up. If you’re routing to multiple team members and they’re all busy, your caller is added to the queue while smooth jazz plays in the background. When someone becomes available, the call is connected. So professional. So easy.

Can I set up or change call routing settings on my personal cell phone?

Yes, you may do so with the LinkedPhone mobile app. When you sign up for LinkedPhone, you can download and use our app for free. Please note that sequential and round robin call routing can only be configured on the web at this time.

Is call routing easy to set up?

Setting up call routing with LinkedPhone is easy. There are two ways to manage how business calls are routed: without call menu options and with call menu options. In either case, phones ring only when you want them to. Simply set your business hours online or in the app.

If you decide not to set up call menu options, all phones in your LinkedPhone account will ring at the same time when your business number is dialed. For instance, let’s say you’ve added your personal cell phone and your partner’s office phone to LinkedPhone. When a customer calls your business number, both phones will ring until one of you picks up or the caller is sent to voicemail.

With call menu options, you can customize call routing to fit your business needs. In order to specify which devices receive calls and how those devices ring (simultaneously, sequentially, round robin), simply set up call menu options in Virtual Receptionist. Here’s an example: pressing 1 for customer service routes the call only to you, pressing 2 for technical support routes the call to your business partner, and pressing 3 for sales inquiries routes the call to both of you at the same time. Each call menu option has its own voicemail box so team members can easily stay on top of things.

We are very focused on providing a clean and intuitive work environment while preserving power and functionality. You can set up a phone system for your entire company in just a few minutes. The images below illustrate how easy it is to set up a call menu option that routes calls to select team members.

Can you highlight some of the other LinkedPhone features for me?

Learn more about our business features here. You get unlimited minutes and text messaging. You can store business contacts which are shared seamlessly across your team. Voicemail is delivered in the app, online, and by email so you never miss a beat. We also transcribe voicemail (provide a text version) free of charge so you can read your voicemail on the go. If you have team members, add them with a few taps. Everyone gets their own extension. We make it easy to share a common business number with your colleagues. Team members can use and download the app free and also use LinkedPhone on the web so they can talk & text from a web browser. LinkedPhone also lets you transfer calls easily. If you receive a customer call and need to transfer it to another team member, just tap on the appropriate team member and the call is transferred instantly.

Also included in your LinkedPhone account is a suite of powerful corporate-quality call menu options. In the industry, we call this “Virtual Receptionist” or “Auto Attendant”. With call menu options, you can set up open hours greetings, closed hours greetings, and voicemail greetings. Additionally, you can set up call routing so that calls are routed to the appropriate members of your team based on a caller’s needs. For example, when a caller presses “2” for your sales team, the call is routed to the team members you designate. If they’re on another call, the caller is put on hold with some nice music playing in the background, providing a professional and polished call experience. With Virtual Receptionist, you can set business hours so that phones ring only when you want them to. Finally, you can provide callers with a company directory so that they can reach a specific person on your team.

Last but not least, we provide an easy way to keep track of the conversations you and your team have with customers. We call it Client Notes. Client Notes help your business effortlessly keep track of conversations, to-do’s and reminders so that everyone on your team is on the same page when dealing with a specific client. It’s a high-value customer relationship management tool (CRM) that everyone loves.
